Prompt templates for everyday work

A good prompt does not need to sound complicated. It needs to give the AI enough context for the task and desired result to be clear. A simple basic structure improves many everyday work tasks.

The short answer

Direct answer

A useful prompt contains a goal, context, concrete task, important boundaries, and the desired format. Templates are a starting point. Names, data, or confidential information should only be used when the chosen service and internal rules allow it.

Template for an email

Goal: Write a friendly and clear response. Context: The recipient asked about [topic]. Our confirmed information is: [information]. Task: Answer the question and name the next step. Tone: personal, professional, and without marketing language. Format: no more than 150 words with a suitable subject line.

Then check every commitment, date, and professional statement. The template helps with structure and tone. Binding content needs to come from a reliable source.

Template for a summary

Goal: Condense the following text for someone unfamiliar with the topic. Task: State the core message, key decisions, open questions, and next steps. Boundary: Do not add information that is not present in the source text. Format: four short sections with clear headings.

This boundary matters. Without it, a polished summary may contain statements that are not supported by the original.

Templates for research and planning

Research: Investigate [question] for [goal]. Use current and traceable sources. Separate confirmed facts, assessments, and open points. Link every important source and state its publication date.

Planning: Create a realistic plan for [goal] under these conditions: [time, budget, people]. Divide it into steps, result, responsibility, and dependencies. Mark assumptions and risks instead of inventing missing information.

Before sending a prompt

  • Is the goal understandable in one sentence?
  • Does the prompt contain only the information actually needed?
  • Are boundaries and unwanted assumptions stated?
  • Is the desired output format clear?
  • Can and may the entered data be processed?

My conclusion

Templates save time when they are not copied blindly. The best prompt combines a clear task with the right context and a person who can evaluate the result professionally.
